Where your data lives
Stored in the European Union, and the services that help us.
Your data is stored in the European Union
Everything your organisation keeps in UiNform, your projects, your documents, the files you upload and your organisation profile, is stored in Ireland, in the European Union. Our backups are kept in the European Union too, encrypted with a key only we hold.
Three services work with your data in the United States, each for one purpose:
- Writing your documents. When you press Generate, the parts of your project that a document needs are sent to the AI company whose models write them. It writes and reviews your documents under UiNform's own rules and guidance: every paragraph of every document is guided, and every line inside it answers to rules our team has written for that document. One of our features searches only trusted humanitarian publishers for evidence, and to learn what a donor funds, it reads only the website you gave us for that donor. The AI company carries out these searches for us. It deletes what it receives within 30 days, unless it is flagged as breaking its usage policy or the law requires it to be kept. It never uses your data to train its AI.
- Signing in. Your name, email address and the name of your organisation are held by our sign-in provider, which also runs team invitations.
- Payments. When your organisation pays, the name, address, email and VAT number on its invoices, and its card, are held by our payment provider. Your card number goes straight to it and never reaches us. It never sees your projects or documents.
Our nightly backup is made in Belgium, encrypted there, and kept in the European Union, so it never leaves Europe.
Each of these companies is bound by a data protection agreement with us, and the transfer to the United States is covered by the safeguards the European Union approves: the EU-US Data Privacy Framework or the European Commission's Standard Contractual Clauses.
The services that help us run UiNform
These are the only kinds of service that handle your organisation's data on our behalf. We will tell you before we add a new one.
| What it does for UiNform | Where your data is |
|---|---|
| Stores your data and your files | Ireland, EU |
| Runs the UiNform application | Ireland, EU |
| Lays out your designed PDF documents, and turns an answer you dictate into text. It keeps nothing once the document is drawn or the words are written down | Belgium and the EU |
| Keeps our encrypted backups | European Union |
| Tells us when something goes wrong. Your writing is removed before an error report is sent | Germany, EU |
| Our email, when you write to us | Netherlands, EU |
| Sends our emails to you, such as your free trial's reminders | Ireland, EU |
| Writes and reviews your documents under UiNform's rules, and searches trusted publishers and a donor's own website | United States |
| Sign-in, teams and invitations | United States |
| Takes your payments and keeps your billing details. Your card number goes straight to it and never reaches us | Ireland, EU, and the United States |
Each company is named on our Sub-processors page, which your organisation can read once signed in to UiNform. If you would like the names before you sign up, write to privacy@uinform.app and we will send them.
